Enrol test prospects, record replies and pauses, and verify that users can see the next task, the reason it is due and the history that caused the current sequence state.
Governance and quality
Review who can create, edit, activate and retire sequences. Change a live sequence only in a controlled test and inspect how existing prospects are affected. Managers should be able to compare performance without rewarding indiscriminate message volume. Establish rules for templates, opt-outs, contact frequency, local time windows and hand-offs between representatives before scaling automation.
Pipeline and manager workflow
Use a small pipeline with missing contacts, delayed next steps and conflicting close dates. Ask managers to identify risks, assign actions and follow the result through to the CRM. Confirm which Outreach views are supported by the selected package and whether forecast changes, deal activity and engagement outcomes remain attributable to a user and source record.
Integration and controls
Test CRM synchronisation, calendar and mailbox connections using realistic permissions. Introduce a duplicate prospect, a bounced message and a temporarily unavailable CRM. Verify how the platform prevents repeated outreach, exposes failed syncs and supports correction. Security review should cover mailbox access, recorded calls, data residency, retention, administrative roles and audit evidence.
Decision checkpoint
Measure time to complete daily tasks, response handling, manager inspection effort and data reconciliation. Review deliverability and compliance with internal messaging rules. Confirm current product packaging, supported channels and integrations directly with Outreach, then proceed only if the platform improves execution discipline without creating a second unmanaged customer database. Include both frontline users and operations administrators in the final acceptance test.
