Practical expense scenario
Test an employee combining a card purchase and an out-of-pocket receipt in one report while finance checks coding and duplicate detection. Include a missing receipt, a coding correction and one rejected item. Ask the employee, manager and finance-role tester to complete their work independently. Compare timestamps, policy messages, approval history, reimbursement state and the final accounting output with a small controlled source set.
Controls and responsibilities
Before rollout, agree workspace administration, card ownership, reimbursement authority and the accounting export or synchronization process. Apply least-privilege roles for employees, approvers, auditors and administrators. Confirm who may override policy, change coding after approval, release a reimbursement, issue or suspend a card and export sensitive spend data.
Integration and recovery
Use a test accounting period to validate employee identifiers, account codes, tax fields, projects, departments and currencies. Introduce one duplicate transaction and one delayed integration response. Record how the team detects the problem, prevents double posting, corrects the source and proves that the finance system and Expensify are reconciled.

Measure receipt-submission time, policy-exception rate, approval age, reimbursement delay and the amount of manual recoding. Retain the approved scenario, role matrix, policy configuration, sample audit trail, integration mapping and exception log. These materials make later configuration changes reviewable without relying on vendor claims.
Security and retention
Review access to receipts, card data, employee details and exported reports. Define retention periods, deletion responsibilities and the evidence needed for an audit or employee request. Test account removal and confirm that former users cannot reopen expense records through a mobile session or integration.
Decision checkpoint
Repeat the scenario with realistic transaction volume and a second administrator. Confirm that finance can explain every state change, locate supporting evidence, export required records and recover from a failed synchronization. Treat unresolved gaps as owned implementation decisions rather than assuming additional configuration will remove them.
