Barcodes improve stock accuracy when a scan verifies the right item, location, quantity and business event at the point of physical work. Printing labels without redesigning event ownership only replaces typed errors with confidently scanned errors.
Choose scan points from the inventory truth chain. Define identifiers, validation, exception, offline behavior and reconciliation before selecting devices or label formats.
Start with the first accuracy failure
Trace an item from receipt to shipment and count. Identify where physical reality first diverges from the record: wrong item, unit, location, quantity, lot, serial or event time.
Place control at that event rather than scanning everywhere.
Define identifiers
Document internal item, supplier code, GTIN where used, lot, serial, location, container and order identifiers. Decide which barcode encodes which value and how duplicates or replacements are handled.
A readable barcode is not necessarily the authoritative identifier. Validate against current master data.

Keep unit and pack logic clear
Define each, inner, case, pallet and conversion. Display expected unit during the task and prevent a case scan from posting one each. Test variable weight or quantity where relevant.
Review supplier labels and relabelling. Several barcodes on one package can cause the correct scanner to capture the wrong symbol.
Design the operator interaction
Give immediate confirmation or actionable error with item, location and expected next step. Minimise screen navigation while preserving deliberate confirmation for high-risk events.
Test gloves, lighting, distance, damaged labels, device ergonomics and accessibility on the actual floor.
Handle exceptions
Define unreadable, unknown, duplicate, wrong-location, over-receipt, short-pick, mixed-container and damaged-item routes. Allow authorised manual entry with reason and review.
Do not train staff to bypass every warning. Monitor overrides and fix master, label or process causes.
Control offline and failure
Decide whether work stops, queues locally or uses a controlled manual fallback when network, device or printer fails. Preserve event order and detect duplicate replay.
Reconcile queued and manual events after recovery. A fast offline mode that posts twice reduces accuracy.
Design receiving verification
Match order, supplier/container, item, unit and quantity. Capture lot, serial, condition and expiry where required. Route overage, shortage and unknown item without inventing master data on the floor.
Decide whether stock becomes received, quarantined or available and show the operator the resulting state.
Design pick verification
Scan source location and item/container against an allocated task. Confirm unit and quantity and handle short pick, substitute and inaccessible stock. Avoid requiring repeated scans that add no control.
Measure wrong-item/location prevention and task time together. A cumbersome control encourages bypass.
Use container identity
For totes, pallets or cartons, define when a container ID is created, contents linked, moved, packed, closed and retired. Container scanning can reduce item scans while preserving traceability.
Test mixed and split containers, duplicate labels and reuse. An old container identity must not attach new stock to historical movement.
Govern devices and software
Inventory scanners, mobile devices, printers, batteries, network, applications and versions. Define enrolment, access, update, support and spare capacity. Test device loss and replacement.
Keep configuration consistent enough that the same scan produces the same validation across shifts.
Maintain barcode master data
Assign owner for new codes, supplier mappings, packaging levels, location labels and retirement. Detect one code mapped to several active items and several codes with unclear precedence.
Audit high-impact overrides and relabelling. Fix source data rather than relying on operator memory.
Scale from a bounded pilot
Pilot one zone and complete event chain. Verify accuracy, throughput, exception handling, worker feedback, device support and inventory reconciliation. Expand by repeatable configuration and training.
Keep manual fallback and rollback until the next dependent process has accepted events.
Protect label quality
Specify format, data source, print verification, placement, durability and reprint authority. Prevent reusing a serial or container label accidentally.
Record label version and printer settings for regulated or high-volume operations.
Pilot one event chain
Use representative items, units, lots, locations and exceptions. Compare event latency, manual corrections, wrong-item/location errors and operator time with baseline.
Run peak and degraded scenarios. Keep rollback and manual reconciliation.
Measure control health
Track first-pass scan success, overrides, unknown identifiers, failed events, event-to-record latency, count variance and repeated error by point. Guard against productivity pressure that encourages bypass.
Barcodes create value when the scan is part of an owned inventory event and exceptions improve the process.
Review measures by item class, location, shift, device and event. A high overall success rate can hide one receiving door or pack level causing most variance. Assign a cause and owner before changing scanner sensitivity, labels or workflow, then verify that accuracy improves without moving delay downstream.
Retain the scenarios as regression tests after device and label changes.
