Decide who can change account categories, bank settings, invoice templates and user access. Test mobile use only for approved actions and review how a lost phone, disconnected bank feed or departed user is handled. Keep exports, a review calendar and a migration record so the accounting data remains usable outside the application.

A small-team rollout still benefits from a named reviewer, period-close checklist and evidence retained for adjustments. Record the boundary between user-entered bookkeeping and advice from an accountant so users know when a transaction needs professional review.
Practical acceptance
Acceptance should be based on a small reconciled period, an understood set of reports and a signed-off access model. Retain the steps for handling a disconnected bank feed, late transaction or user departure, and confirm which questions are resolved inside the tool versus referred to an accountant.

Use a modest batch of invoices, expenses and bank entries to simulate a regular reporting period. Include an expense assigned to the wrong category, an amended invoice and a user who should lose access mid-period. Ask the reviewer to trace each change through the reports and record the escalation route for tax or accounting decisions. This turns a small-business trial into an operational process test.
Evidence to retain
The rollout file should hold an anonymised trial set, reconciliation results, access assignments and the reports approved by the reviewer. Also note the geographic or tax assumptions that require advice outside FreeAgent.
